Terms and Conditions for Photography, Film, and Dry Hire Studio Use
Welcome to our Self-Access Photography and Film Studio. By booking and using our facilities, you agree to the following Terms and Conditions. Please read them carefully to ensure a smooth and enjoyable experience. These Terms and Conditions are governed by UK law and your statutory rights are not affected.
- 1) Availability & Booking
- a) Availability: Please message us for availability before making a booking. We encourage early inquiries to avoid any disappointments, especially during peak periods.
- b) Booking Confirmation: All bookings must be confirmed before access is granted. You will receive a unique code to enter the studio once the booking is confirmed.
- c) Contract Formation: By making a booking and paying the necessary fees, a binding contract is formed between you (the “Client”) and the studio (the “Provider”) in accordance with these Terms and Conditions.
- 2) Age Requirement & Identification
- a) Age Requirement: The studio is available for bookings by individuals aged 18 years and older only.
- b) Photo ID: You must send a copy of your photo ID (e.g., passport, driving license) prior to arrival for age verification and security purposes. Entry will not be granted without ID verification.
- 3) Studio Conduct & Usage Guidelines
- a) Decorations: The use of confetti and glitter is strictly forbidden in the studio. Please pop balloons outside the studio to avoid any mess.
- b) Smoke Machine: If you plan to use a smoke machine, you must notify us prior to use. Our smoke alarms are highly sensitive, and prior approval is required to prevent triggering them.
- c) Smoking: Smoking is strictly forbidden inside the building, including within the studio and any common areas.
- d) Electricity Usage: Please ensure all electrical equipment (lights, heaters, steamers, speakers, etc.) is turned off upon departure. Failure to do so may result in additional charges.
- e) Windows: Ensure all windows are closed before leaving the studio to avoid weather-related damage or security issues.
- f) Furniture: Please leave the studio in the condition you found it. This includes returning all furniture and equipment to their original locations. Any damage or disorganization will incur additional charges.
- 4) Studio Time & Extra Charges
- a) Session Time: If you anticipate running over your scheduled time, please arrange additional time with us before your session ends. We will do our best to accommodate, but any unauthorized overtime will automatically be charged at the current hourly rate £25 per hour.
- b) Overtime Fees: Charges will apply for any session time that exceeds your pre-booked hours without prior arrangement. Any time the exceeds your pre booked hours by more than 15 minutes will be charged the hourly rate. Any time that exceeds our opening hours 08:00 – 22:00 will automatically be charged at £35 per hour.
- 5) Damages & Holding Fees (Deposit)
- a) Responsibility for Damages: You, the Hirer, are fully responsible for any damage or loss to the studio premises, equipment, or property during your booking or hire period. This includes, but is not limited to, the following types of damages:
- i) Physical Damage: Damage to the studio space, furniture, props, or other physical property.
- ii) Equipment Damage: Damage to any studio equipment, including cameras, lighting, sound equipment, or other gear, whether caused by misuse, negligence, or accident.
- iii) Theft: Loss or theft of studio property, including equipment, props, or materials, whether intentional or accidental.
- iv) Spillage and Staining: Damage resulting from liquid spills, stains on floors, walls, or other surfaces, or damage caused by food or drink.
- v) Fire, Water, or Environmental Damage: If investigations conclude that damage caused by fire, water, or other environmental hazards affecting studio space or equipment were caused by the hirer.
- b) Damage to Persons or Property: Harm or injury to persons or property resulting from the Hirer’s actions within the studio premises.
- The Hirer accepts full legal responsibility for any damage or loss caused to the studio premises, equipment, or other property during the booking or hire period. This responsibility extends to all persons under the Hirer’s control, including employees, contractors, agents, and guests.
- 6) Legal Responsibility of the Hirer
- a) Indemnification: The Hirer agrees to indemnify and hold the Studio, its owners, employees, and agents harmless from any claims, liabilities, damages, costs, or expenses arising out of or in connection with damage caused during the hire period.
- b) Repair or Replacement: The Hirer agrees to compensate the Studio for the cost of repair or replacement of any damaged property or equipment. The Studio will assess the damage and provide the Hirer with a cost estimate. In the event of theft or total loss, the Hirer agrees to pay the full replacement cost.
- 7) Holding Fee (Deposit)
- A non-refundable holding fee of £150 must be paid prior to confirming your booking. This fee secures your reservation and will be refunded or deducted from your final bill following an inspection of the studio and equipment, provided no damage has occurred. If damage is found, the cost of repair or replacement will be deducted from the holding fee, with any remaining balance being charged to the Hirer.
- 8) Applicable Legislation: This agreement is governed by UK law, including, but not limited to:
- a) The Occupiers’ Liability Act 1957: Establishes the duty of care owed by the studio owner to ensure the premises are safe for visitors, including the Hirer and their crew.
- b) The Consumer Rights Act 2015: Protects consumers against substandard goods or services, applicable to any rented equipment or studio services.
- c) The Law of Tort: Covers negligence claims, including those arising from damages to persons or property resulting from unsafe or negligent actions.
- The Hirer’s legal responsibility for damages extends to the provisions of the above legislation.
- 9) Insurance
The Hirer is strongly advised to obtain adequate insurance coverage for both the studio space and any rented equipment. The Studio can provide recommendations for insurance providers, but the Hirer remains fully responsible for ensuring they have sufficient coverage for the hire period. Failure to obtain insurance may result in the Hirer being fully liable for any damages incurred.
- 10) Damage Reporting and Charges
The Hirer must immediately report any damages or incidents to the Studio Manager during or after the booking or hire period. The Studio reserves the right to charge the Hirer for any necessary repairs or replacements, and such charges will be communicated promptly after an assessment. If the Hirer fails to report damages or theft in a timely manner, they may still be held liable for any associated costs.
- 11) Terms Review
It is the Hirer’s responsibility to read and understand all terms and conditions before making a booking. By proceeding with a booking, the Hirer confirms they have reviewed and agreed to the full terms and conditions, which are available on the Studio’s website. If the Hirer has any questions or concerns, they should contact the Studio before booking.
- 12) List of Studio Equipment: The following equipment is available for use during your session. Some items listed are not included in the standard hire. Please contact studio manager for updated rental prices for extra equipment:

- 13) Additional Policies
- a) Studio Access: Access to the studio will be granted via a secure code, provided once your booking is confirmed.
- b) Conduct: You are responsible for maintaining professional behavior while using the studio. Any abusive or disruptive conduct will result in immediate termination of the session, and no refund will be given.
- c) Liability: The studio is not responsible for any loss, damage, or injury that may occur during your session. It is your responsibility to ensure the safety of all participants in the studio.
- 14) Legal Terms & Conditions
- a) Consumer Rights: As a consumer, you have the right to cancel your booking within 14 days of receiving confirmation of your booking (without giving any reason), subject to the provisions of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. To exercise this right, you must notify us in writing (via email or post).
- b) Cancellation Policy: After the 14-day cancellation period, cancellations are subject to a non-refundable deposit of 25% of the booking total. Cancellations made within 48 hours of the session will be charged the full session rate.
- c) Force Majeure: We are not liable for any failure or delay in the performance of our obligations where such failure or delay is due to circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, or government restrictions.
- d) Data Protection: We are committed to ensuring your privacy is protected. Any personal data provided by you will be handled in accordance with the General Data Protection Regulation (GDPR) and the Data Protection Act 2018.
- e) Limitation of Liability: Our total liability to you in the event of any breach of these Terms and Conditions shall not exceed the total amount paid by you for the session in question. We shall not be liable for any indirect, consequential, or special losses.
- f) Governing Law: These Terms and Conditions shall be governed by and construed in accordance with the laws of England and Wales. Any disputes arising out of or in connection with these Terms and Conditions will be subject to the exclusive jurisdiction of the courts of England and Wales.
